Description An exciting vacancy exists at Corporate Office for an adequately skilled Senior Executive Administrator professional within the office of the Chief Executive Officer. Key Performance Outputs The successful candidate reporting to the Chief Executive Officer (CEO), will be responsible for the following: Performing a variety of administrative and executive support tasks that are highly confidential and sensitive; Generating procurement orders on software system including receipting and invoicing; Collaborate with stakeholders in relevant forums ;Building, supporting and maintaining healthy, diverse internal and external relationships to ensure achievement of organisational goals; Assisting the CEO to make consistent decisions by advising the CEO of historical precedents, serving as a liaison between the CEO and other board members; Manager and coordinate the CEO’s diary; Preparing letters, reports, memoranda, presentations and other relevant documentation; Making necessary travel and accommodation arrangements as and when required; Responding to requests, queries and complaints as and when required; Scheduling, arranging and coordinating meetings; Recording, transcribing and distributing minutes of meetings to relevant parties’ Handling internal and external calls as well as emails; Researching, compiling, assimilating and preparing confidential and sensitive documents and briefing the CEO regarding the content; Assisting in the completion of various forms, notices, press releases and other communications, which may require posting or publication; Adhere to statutory regulations, organisational standards, policies and procedures; Technical Skills and Experience The following skills and experience, or the equivalent thereof, will be required: Relevant Bachelor’s degree (360 credits, NQF Level 7) in Office Management / Administration; A minimum of 5 years’ experience working in a similar Executive environment is essential; A minimum of 3 year’s operational experience in an Executive Administration role is essential; Advanced knowledge and experience in supporting Top Management with public sector experience; Knowledge of applicable legislation; Knowledge and relevant experience of document management; Must be proficient in MS Office Packages; Competencies The ideal candidate should be meticulous with excellent planning and time management skills; The successful incumbent must possess exceptional interpersonal, communication skills (both verbal and written); The ability to handle challenges including a high level of diplomacy is essential in this role; Furthermore, it is critical that this candidate meet set goals and targets; Ensuring the consistent achievement of results, whilst delivering outstanding customer service it vital in this role; Shortlisted candidates will be required to provide proof of their qualifications, NQF level and credits and eligible for Top Security Clearance within 3 months of appointment. |
